Form I-9 authorised representative
If you are hiring someone who works remotely or is not near your HR office, federal rules let an authorised representative complete Section 2 of Form I-9 on the employer’s behalf — physically examining the new hire’s documents.
A notary can serve in that role. It is worth being precise about what is happening: we are acting as your authorised representative, not notarising the I-9. The I-9 is not a notarised document and should never carry a notary seal. Employers who ask for a "notarised I-9" are asking for something that would be wrong.

Questions
About business & corporate notary
Can a notary complete a Form I-9 for a remote employee?
Yes, as the employer’s authorised representative — physically examining the documents and completing Section 2. Important distinction: the notary is not notarising the I-9 and must not apply a seal to it. A notarised I-9 is an incorrectly completed I-9.
Can you notarise for several employees in one visit?
Yes, and that is usually why companies call. Each signer needs their own photo ID and must be personally present, but we can work through a group in a single appointment.
Do you invoice, or do we pay on the day?
Business clients are invoiced. Recurring clients can be set up on consolidated monthly billing.
Can you certify copies of our corporate documents?
Florida notaries can certify copies of some documents, but not of documents held in a public record — a state-filed article of incorporation must be certified by the state, not by us. See our certified copies page for what is and is not possible.
